How to Create a Printable School Calendar

A guide for students, parents, and teachers on creating a printable academic calendar with term dates, holidays, and assignment deadlines.

A printable school calendar helps students, parents, and teachers plan the academic year with term dates, holiday periods, assignment deadlines, and school events clearly mapped out.

Choosing a calendar type for school use

For school planning, the most useful calendar types are:

  • School Calendar — A monthly layout with dedicated spaces for term notes, assignments, and school events
  • Monthly Calendar — A clean monthly grid for tracking key dates across the academic year
  • Weekly Planner — A detailed week view for managing study sessions, homework, and extracurricular activities
  • Blank Calendar — An empty grid useful for lesson planning or hand-written school schedules

Setting the academic year date range

School years typically run from September (or August in the US) through to July (or June). Set your calendar to cover this date range. For a full academic year, you may want to print 10–12 monthly calendars and keep them in a folder or binder.

Adding term dates and holidays

If you are in the UK, select the United Kingdom in the holiday settings to add bank holidays to your calendar. School term dates vary by school and local authority, so you will need to add these manually as events.

Common term dates to mark:

  • Start and end of each term
  • Half-term breaks
  • Inset days (teacher training days)
  • School holiday periods
  • Exam periods

Adding assignments and deadlines

Use the Add Event feature to mark assignment deadlines, exam dates, and project due dates. Adding these at the start of each term gives you a clear picture of the workload ahead.

For teachers: planning lessons and units

Teachers can use a blank or monthly calendar to plan units of work, scheme of learning timelines, and assessment dates. Print a calendar for each month of the term and note the topics and learning objectives for each week.

For parents: keeping track of school commitments

A monthly family calendar with a section for each family member works well for keeping track of school trips, parents' evenings, sports events, and other school commitments alongside household appointments.

Printing tips for school calendars

  • Print on A4 for desk or folder use
  • Print in landscape for a wider grid with more space per day
  • Laminate a monthly calendar for classroom display
  • Print multiple months for a corridor or hallway timeline display
